POLLAUGHAN COTTAGES         BOOKING TERMS AND CONDITIONS       

Our Promise to you

We never overbook our accommodation and once your booking is confirmed by us we guarantee your holiday, subject to the terms below, but equally we expect you to proceed with your holiday and pay your balance on time.

We are a Non- Smoking Property

You agree not to smoke in the cottages or their gardens .

The Booking Contract

The Contract is for short-term holiday rental only. The Contract and is between the Pollaughan Cottages Owners on the one part and the person making the booking and all members of the holiday party in the other part, and is subject to the booking conditions herein which must be complied with but which may be reviewed from time to time. The party leader must be at least 18 years of age at the time of booking and the booking form must list all names of the party and also the ages of children.

Your booking contract commences at 4pm on the day of arrival and ceases at 10am on the day of departure. We commence the cleaning of the cottages at 10am and will access the cottage from this time.

Bookings, Deposits and Payments

Deposits are 30% of the total holiday price and are non -refundable

Balances are due 12 weeks before the holiday by the date in your confirmation. We will charge 4% interest on overdue payments.

Bookings taken by phone or online will be a Provisional Booking initially whilst we review all the details, even if you have submitted payment information. The booking will become a fully confirmed contract between both parties once the deposit and booking form have been reviewed by us and processed. You will initially receive an email confirming the booking is being reviewed and once that has been done by us you will get written confirmation that your booking is a CONFIRMED BOOKING and will have a booking number as reference.

In the very rare event, for whatever reason, we are unable to proceed from the Provisional to a Confirmed Status we will inform you straight away and refund any monies paid. We are not obligated in any way to give a reason.

Once you have a confirmed booking, you are responsible for the full rental cost even if you subsequently cancel, subject to our cancellation policy below.

Cancellation Policy

We strongly advise you take holiday insurance when booking your holiday to reduce your liability in the event of cancellation due to illness or accidents.

 Cancellations must be notified to us in writing or by email immediately they arise and we will confirm receipt of your cancellation. We will endeavour to re-let the week for you and if successful we will notify you immediately of there being new booking and payment in place at which point you will no longer be liable for the balance of the holiday.

Even if you have notified us of a wish to cancel you are still liable to pay the balance of your holiday when due, if it has not been re-let by the due date. If and when successfully re-let we will refund you the balance payment paid, which is 70% of the holiday cost,If we are unable to re-let there will be no refund under any circumstances.

Moving a deposit to an alternative week

We realize uninsurable events do occasionally arise and so we will move a deposit from one week to another within the same calendar year, provided there is at least 6months clear between the written notice to us of the intention to move a week, and the start date of the holiday originally booked.

VAT
VAT is included at the current rate but these prices are subject to change if the VAT rate alters up or down. The effective rate of VAT is determined by the rate at the time you make a payment to us. If VAT changes after you have made a deposit payment on your stay, the balance of your charge will be altered from the booking summary to reflect any change in the rate of VAT

Holiday Insurance

We strongly advise you take holiday insurance when booking your holiday to reduce your liability in the event of illness or accidents.

Occupancy

The occupancy as stated in the cottages details is the maximum number of full size beds in the cottage. We are happy for one or two cots to be added on top of the occupancy rate free of charge and subject to space, but only for children less than 3 years old and sleeping in a cot.

If you would like to squeeze in an extra child on a mattress or camp bed please discuss with us, we try to be as accommodating as possible but there will be a charge of £30 per child.For insurance purposes we need to know the names of all members of the party and ages of children under 16. All share responsibility for the cottage, its contents and the behaviour of the members of the party. We understand that you may have friends and family visit for the day in which case you will be responsible for their behaviour and conduct. Please ensure they do NOT bring dogs and if they wish to use the facilities here the other staying visitors have priority.

Force Majeure

If for any reason we have to cancel your booking in advance due to circumstances beyond our control for example fire, flood, exceptional weather conditions, epidemics, destruction/damage to the property (“force majeure“) you will be refunded the full amount of the booking. If we have to terminate your holiday early for the above reasons you will be refunded part of the booking fee based on the time remaining of the booking. No additional compensation, expenses or costs will be payable by us.
 

Liability
We, Pollaughan Cottages, shall not be liable to you or your party for loss or damage to your property regardless of how it occurs. You must take all necessary steps to protect and safeguard your personal property.


Care of the Property

For the period of your contract of hire you are responsible for the property and its contents and are expected to take all reasonable care of its furniture, pictures, fittings and effects, in or on the property. You must leave them in the same state of repair and in the same clean and tidy condition at the end of your period of hire as it is at the beginning. You agree to thoroughly clean any baby equipment and leave the property clean and tidy, clear kitchen sinks and rubbish and recycling removed to their appropriate places. Food and items left in the property will be disposed of. We reserve the right to request a damage/cleaning/tidying deposit of £100 per cottage on booking. We will usually apply this when more than two cottages are booked by one party as we know that items inevitably move between the cottages and hence it takes considerably longer to re-sort and clean on changeover day.

Breakages

We appreciate accidents do happen and we don’t charge for the odd plate or glass but please report breakages or damage immediately so they can be replaced or fixed for your continued enjoyment. You may be liable for replacement or repair. You are legally bound to reimburse us for replacement, repair or extra cleaning costs on demand. If you lose a key please let us know immediately so we can arrange the cutting of a new one, at your cost.

 Nuisance

You must not use the properties for any dangerous, offensive or noisy activities that may cause annoyance to the owner or other neighbouring properties, this includes use of fireworks. The owners reserve the right to terminate your stay if you or members of your party are believed to be causing a nuisance to other guests or are not treating the property , and other guests ,with due respect. This includes any maltreatment and/or provocation of the animals and wildlife at Pollaughan Farm.

 Baby Equipment

Cots and highchairs and toys are provided free of charge but can only be guaranteed if requested on the booking form. Please return toys to us cleaned and in good condition and re-sorted where necessary. They must only used by children appropriate to the age. We will remove outdoor toys if we feel they are being damaged and charge you for damaged and ruined toys.

 Farmhouse Meals

Due to our own family and farm commitments the home cooking service and animal feeding cannot be guaranteed to be available at all times although we will do our best to arrange suitable alternative arrangements and cover for these activities wherever possible.

 Dogs

We will very happily accept assistance dogs however due to having our own pets and lots of wildlife here we do not generally accept pet dogs other than in exceptional circumstances or at our own discretion with our regular and known visitors. We have a dog agreement that must be signed at the time of booking if a dog is coming.

If you arrive with a dog, without confirming with us first, your contract with us will become void with no liability on our behalf to refund any monies, until the dog has been placed in local kennels or returned home.
